Who it is for

For firms that sell time and subscriptions

Teams of 2 to about 30 people with clients on subscriptions and on hourly rates, hours to track, last month’s invoices to prepare and a pack of documents for the accountant. The same work that today falls apart between spreadsheets, chats and three different programs.

Agencies

Web, marketing, design and content: clients on monthly retainers, campaigns, client approvals and contract hours.

IT firms

Support and projects: tasks, client requests, tracked hours and invoices built from the contract, with no retyping.

How it is designed

The client is the centre

Open a client and see only their things: tasks, meetings, files, finance. The shared views are few and clear.

The system works, you decide

It prepares invoices, collects documents and reconciles the bank. It shows you only what needs a decision.

Few fields

A task takes four fields, or your voice. Everything else is “add” when you need it.

Google everywhere

Calendar, Drive, Gmail and Meet. We do not copy what Google already does well.

No passwords for clients

Quotes and the portal open with a private link and an email code.

Notifications are rare

Only when you have to act. Everything else goes into the morning overview, “Today”.

Finance

The monthly close, step by step

The “Month” screen is a deadline checklist that fills itself in. On the 1st GambIX prepares draft invoices from contracts and hours. Up to the 10th it tracks what has been issued, reconciles the bank and tells you which payments have no document.

  • Sends invoices to the program you issue them in
  • Collects expense documents from email, a photo or an upload
  • Assembles the accountant’s pack and sends it
  • Profit by client and by service against the hours worked

GambIX does not issue invoices. It prepares them and hands them to your program; we start with InvoicePro.

Team and leave

Leave, sick days and workload

Entitlement, days carried over from last year, balances and a shared calendar. Paid and unpaid leave go through approval. Approved leave produces a numbered document for printing.

The client’s side

Quotes and a portal the client opens by link

A quote is assembled from blocks: scope, schedule, prices, terms. The client opens it with a private link, no password. You see when it was opened. “Accept” asks for a name and an emailed code, and an accepted quote becomes a project and a contract.

Files and meetings

Files stay in Google Drive

A Drive folder is attached to a client and a project. GambIX shows its contents as a list with thumbnails and opens files in a side panel, copying nothing. Meetings are linked to Google Calendar, and the summary lands on the client.

Ask and Claude

Ask in plain words, get an answer with sources

The “Ask” panel (⌘J) answers questions about clients, tasks and finance and shows where each number came from. It works with the rights of the person asking. Your own Claude or ChatGPT can do the same through MCP.

Roles and rights

Everyone sees what they need

Rights are per module and per scope: own, team or all. The roles below are the defaults and a firm can change them.

Owner

Everything, including personal finance that nobody else sees.

Admin

Everything except personal finance. Finance is optional.

Manager

Their team, clients, and leave to approve.

Employee

Their own tasks, hours and leave; the clients they are assigned to.

Client contact

Only their own: requests, quotes, invoices and shared files.

Security and data

A firm’s data belongs to that firm only

This is how it is designed. During early access we will show it in practice, and before you start you will receive terms, a privacy policy and a data processing agreement (GDPR Art. 28).

Data stays in the EU

The database sits in a data centre in the European Union.

Isolation per firm

Every row carries its firm, and the database itself refuses to return other firms’ data, even if the app has a bug.

No forgotten passwords

The team signs in with Google, clients with a private link and an emailed code.

Secrets are encrypted

Connections to Google and the bank are stored encrypted, with a key kept outside the database.

Sick leave is protected

Health information is visible only to the employee and the admin, stored encrypted, and every opening is logged.

Minimal Google access

You choose the Drive folders. GambIX does not read all your mail or your whole Drive.

A log of changes

Who changed what, recorded and visible to admins.

Nightly backups

The database is copied every night, also outside the main provider.

FAQ

Frequently asked questions

Is GambIX ready?

Not yet. It is being built now and will arrive at app.gambix.tech in stages. That is why we offer early access: the first firms get 6 months free and shape what is built. This page describes the product we are building; the documentation notes the order each module arrives in.

Does GambIX issue invoices?

No. GambIX prepares drafts from contracts and hours and hands them to the program you already issue invoices in, and the PDFs come back to it. We start with InvoicePro. You do not have to change the program your accountant works with.

Does my accountant have to sign in?

No. They keep working in their own program. GambIX assembles the pack: sales and expense invoices and the bank statement, uploads it to Drive and emails it to them.

What does GambIX take from Google, and does it write to my mailbox?

Calendar and Drive connect with one button. You pick the Drive folders and GambIX sees only those. It does not read your whole mailbox: each firm gets its own GambIX address and forwards invoices and bank statements to it.

Where is the data and who can see it?

In the European Union. Each firm is isolated from the others at the database level, and inside a firm rights follow roles. Details are in the security documentation.

How does it work with Claude or ChatGPT?

In two ways. Inside the app, the “Ask” panel answers with your rights and shows its sources. From outside, the MCP interface lets your own Claude or ChatGPT perform the same actions you could, with your rights.

Is there a phone app?

It is planned. GambIX is a web app that installs on a phone and will send notifications, photograph invoices with the camera and take voice tasks. A store app comes later.

What language is it in?

The interface is in Bulgarian. Meeting summaries can be in Bulgarian or English.

How much does it cost?

Solo is free. Team is €39 a month for up to 5 users, Business is €79 a month for up to 15. Above 15, add €5 per user. Paying yearly gives 2 months free. In early access the first 10–20 firms pay nothing for 6 months.
